Use Communications Pole Audit

The Communications Pole Audit solution delivers a set of capabilities that help you manage pole audits, perform audits in the field, monitor the progress and create pole audit deliverables.

Manage pole audits

To streamline the audit process, it is crucial to effectively manage pole audit work on a regular or ad-hoc basis. Managing audits in a centralized location improves planning, tracking, and reporting. Audits ensure accurate billing for attachments, determine resource allocation, plan for future expansion, schedule maintenance, and comply with regulatory requirements.

Create audit project

Identifying the area where the audit needs to be performed helps field engineers to capture the necessary information needed for the audit.

In this workflow, you will assume the role of audit coordinator who needs to create the project area to identify the poles that need to be audited in the field.

  1. In a browser, sign in to your ArcGIS organization and browse to the Pole Audit Coordinator app.
  2. From the item page, click View.
  3. The app opens on the Manage page and the Edit widget is open.
  4. Optionally, click the Details widget to review how to use the Pole Audit Manager app.
  5. Type an address in the search text box and press Enter.
  6. In the Editor widget, under Create features, click Open under Project Area.
  7. On the map, draw the project area around the poles that need to be audited.
    Note:

    The project area is required to identify the progress of audits so accurately draw in the area for best results.

  8. Optionally, add the project route to the map for field staff to understand the path to perform the pole audits.
  9. Fill in the required attribute, and after you finish, click Create.
  10. Once the audit is ready to be performed in the field, set the Status field to In-Progress.

Perform pole audits

Performing audits in the field allows for the collection of up-to-date data on pole location, attachment information, images, and any issues that may be identified.

In this workflow, you assume the role of a field technician who needs complete prerequisite to audit poles.

  1. Download the Survey123 field app onto your mobile device.
  2. Open Survey123 and sign in to your ArcGIS organization.
  3. At the upper right, tap your avatar and tap Download Surveys.
  4. Search for Pole Audit Survey and tap the Download button.
  5. Download ArcGIS Field Maps onto your mobile device.
  6. Open ArcGIS Field Maps and sign in to your ArcGIS organization.

In this workflow, you will assume the role of a field engineer who needs to audit the poles within a project area.

  1. Open ArcGIS Field Maps and sign in to your ArcGIS organization.
  2. Tap the Pole Audit Field Map map to open it.
  3. Tap Search and type the project name and tap search.
  4. Tap a communications pole in the map to review the details.
  5. Review the pole details for accuracy and make the necessary updates.
  6. To perform the audit on the pole, tap the Audit Pole button.

    This will open the Pole Audit Survey in ArcGIS Survey123.

  7. Complete the survey to capture all necessary information for the audit.
  8. Tap See clearance details next to corresponding attachment fields to see clearance between fields.
  9. Tap the check mark at the lower right and tap Send now.
  10. Completing the Pole Audit Survey returns you to the Pole Audit Field Map. The completed survey will show in the map as you progress through the audit.
  11. Repeat steps 4-9 for each pole that needs to be audited within the project area.
  12. To review previous audit records in the field, tap the layers button, turn off Pole Audit Latest Record, and turn on Pole Audit Historic Records.
    Note:

    Images cannot be viewed on the audit records in the field. Attach images from the audit to the pole layer to view in the field.

  13. Use the map to locate Pole Audit Historic Records and tap the record to see the audit details.

Review audit progress

Audit coordinators need to manage the progress and completion of audits. By regularly reviewing the status of audits, they can identify any delays or issues and take appropriate actions to ensure timely completion.

In this workflow, you will assume the role of an audit coordinator who needs to review the status of active audits and gain insight on pole attachments.

  1. In a browser, verify that you are signed in to your ArcGIS organization and browse to the Pole Audit Coordinator app.
  2. Click the Review button to monitor the progress of audits.
  3. Click the Overview tab to review the high-level metrics such as overdue audits, violations, or attachments.
  4. On the left, click the arrow to display the filter panel, and then use filters to explore active audits by key dates, audit violations, and other audit results.
    Tip:

    To pin the filter panel, click the pin in the upper-right corner.

  5. Click the Audit Map tab to view audit in the map.
  6. In the Projects list, select the audit project to review the progress of this specific audit.

    The Poles and Audits lists will filter based on the project selected and the map will zoom to the audit area.

  7. Select the audit record from the Audits list and review Audit Details for more information on the audit.
  8. Click the To Do tab to see poles that still need to be audited.
  9. To update the audit record with additional information, click the Audit Editor tab.
  10. Update the record and click Submit when finished.

Export and close out a pole audits

It is important for audit coordinators to be able to generate deliverables that facilitate compliance, effective communication with the pole owner, attachment information, and proposed attachment requests.

Note:

The first time you open the Pole Audit Reporter map in ArcGIS Pro, the layers will show as broken. Follow the steps to Configure the Pole Audit Reporter ArcGIS Pro project to fix your layers.

In this workflow, you will assume the role of an audit coordinator who needs to export audit records, images, and a map deliverables and close out an audit project.

  1. Open the Pole Audit Reporter ArcGIS Pro project.
  2. On the View tab, in the Windows group, click Catalog, and click Catalog Pane.
  3. In the Catalog pane, expand the Tasks folder, and double-click the Pole Audit Reporter task.
  4. In the Tasks pane, click the Getting Started task group to expand the collection of tasks.

    This task group provides high level information about the solution.

Getting started

The Pole Audit Reporter is designed to be used by audit coordinators who want to generate audit records, images, and the map to create attachment applications as well as close out completed audits.
