Use Gas As-Builting

The Gas As-Builting solution delivers a set of capabilities that help you document newly constructed assets and rapidly make that information accessible to gas utility operations so they can make informed decisions, reduce potential for damage, and increase safety.

In this topic, you will learn how to use the solution by assuming the role of a user and performing the following workflows.

Create as-built projects

Use the Gas As-Built Assignment Center to create new as-built project polygons that encompass the area for each as-built project.

In this workflow, you will assume the role of a construction supervisor who will create an as-built project polygon with key project details.

  1. Verify that you are signed in to your ArcGIS organization and browse to the Gas As-Built Assignment Center web experience.
  2. From the item page, click View.

    The experience will open on the Create page.

  3. Use the Search widget to search by Address for the area of the as-built project polygon.
  4. In the Create features section of the Editor pane, click one of the As-Built Construction Projects templates and begin to draw the extent of the project polygon.

    To more accurately draw the extent of the polygon, click the Toggle basemap widget located at bottom right to quickly switch to imagery.

  5. Type in the key attributes for the project polygon, which can be used to monitor the status of the project and share project details.
    The Project Number and Work Order ID field values will be automatically added to each new as-built feature that is collected in the field. The newly added features will inherit the attributes if the new as-built features intersect the project polygon.
  6. When you finish providing attribute values, click Create.

Assign as-built tasks

Use the Workforce project to assign as-built tasks to mobile workers.

Note:
This workflow is optional and doesn't need to be completed to work with the solution.

In this workflow, you will assume the role of a construction supervisor who assigns as-built projects to mobile workers.

Tip:
Workforce projects

Assign workers as a mobile worker before continuing with the workflows below. Follow the steps in Add users to the workforce project to add mobile workers to your project.

  1. Verify that you are signed in to your ArcGIS organization and browse to the Gas As-Built Assignment Center web experience.
  2. From the item page, click View.

    The experience will open on the Create page.

  3. Click Assign on the app header to open the Assign page.
  4. On the map, select the as-built project polygon that needs to be assigned and click + Create Assignment to create an assignment at the feature's location.

    Tip:

    You can also search for polygons by Project Name, Number, Work Order ID or Location Description.

  5. For Assignment Type, choose New As-Built Project.
  6. Under Assigned to, click Assign and select the mobile worker who will complete the work.
  7. For Priority, choose a priority level for the assignment.
  8. Click Due Date, and in the date picker, choose the due date and time for the assignment to be completed.
  9. In the Description text box, type all the information the mobile worker needs to know to complete their assignment.
  10. Click Create Assignment to create the assignment and assign it to the mobile worker specified.

    The mobile worker receives the notification on their mobile device.

Collect as-built data

In this workflow, you will assume the role of a mobile worker who will be collecting as-built features.

Note:

Start at step 9 if you are not using the Gas As-Built Assignments Workforce project to assign as-builting tasks.

  1. Download ArcGIS Workforce onto your mobile device.
  2. Open ArcGIS Workforce and sign in to your ArcGIS organization.
  3. Tap the As-Built Assignments map.
  4. Tap Download.
  5. Tap the As-Built Assignments map to open it.
  6. In the To do list, tap an assignment to view its location on the map and see details about the assignment.
  7. In the assignment details, tap Start to begin working on an assignment.
  8. Swipe up and tap Open in Field Maps.

    The Gas As-Built Collector opens in ArcGIS Field Maps.

    Note:

    The Gas As-Built Collector map has pre-configured pop-ups that show accuracy details that can be adjusted to meet your organization's spatial accuracy requirements. The mobile worker can view the pop-up of the feature to view accuracy metrics after the feature has been collected.

  9. Optionally, open the Gas As-Built Collector directly from Field Maps.
  10. Start collecting as-built features by completing the following steps:
    1. Tap the Add button, and then tap the asset you'd like to collect.

      The Project Number and Work Order ID will only populate if an as-built project polygon encompasses the area where you are collecting features

    2. If the asset has a barcode to scan, click the barcode symbol in the Barcode field to scan the asset's barcode.

      This will populate the attributes in the Barcode Attributes group.

    3. Continue to manually fill out the necessary fields.
  11. When you are finished, at the upper right, tap the check mark or Submit.
    Note:

    Your interface may vary depending on the type of mobile device that you use.

  12. Skip the following steps if you are not using Workforce.
  13. After you have finished collecting data, return to Workforce.
  14. In the assignment details, tap Finish when you have completed the assignment.

Collect retired pipe extent

Use the Retired Pipe Extent feature to quickly denote the extent of abandoned pipe. This layer can be directly consumed in a map with your system of record or used in the Gas Distribution Data Management Editor map to aid in updating existing pipes to their newly abandoned status.

  1. In the Gas As-Built Collector Field Map, tap the Add button, and then tap the Retired Pipe Extent feature template.
  2. Collect the extent of the retired feature.
  3. Populate the Removed_Retired and Measured Length fields and submit the feature.

Move as-built data

After the as-built data has been collected, the features can be reviewed and prepared to move. The As-BuiltGasSystem and the GasAs-BuiltCathodicProtection features are copied to the GasSystem and CathodicProtection feature layers.

Note:

Gas As-Builting is preconfigured to move as-built data into Gas Distribution Data Management. If you are using a different system of record other than Gas Distribution Data Management you may have to modify the deployed layer schema or the deployed notebooks, or use a different workflow to move data into your system of record.

Move data using Gas As-Built Review Center

In this workflow, you will assume the role of a mapping technician who is responsible for moving data that has been approved.

  1. Verify that you are signed in to your ArcGIS organization and browse to the Gas As-Built Review Center web experience.
  2. From the item page, click View.

    The experience will open on the Edit and Move page.

  3. In the Search widget, search for the construction project by Address, Work Order ID, Project Number, Name or Location Description.
  4. Review the as-built features collected by mobile workers to ensure the assets have the necessary attributes and accuracy for your organization.
  5. To update attribute information use the Smart Editor widget or use the Update As-Built Projects assignment type in the Workforce project.
  6. Once you have verified the as-built features meet your organization's criteria, you can copy into your system of record. Use one of the following options to update the as-built status.
    • Batch Edit by Project Number - click the Point tool to select a distribution pipe to automatically select all features that share the same Project Number.
    • Batch Edit by Area - select the features manually by drawing a polygon over them. This is a simple method that can be used if Project Number or Work Order ID are not used.
  7. Update the GIS Status from Pending to Review Complete and click Save.

    The features listed in the panel will temporarily show the number of features being updated.

  8. Click the Move As-Builts widget and scroll down to find the Show Notebooks button.

    Ensure the user copying features with the Notebook has adequate permissions or is in the Gas Distribution Data Management Gas Editor group.

    The Notebooks page will open a list of the As-Built Notebooks in your organization.

  9. Open the item page for the appropriate notebook, either CopyAs-BuiltCathodicFeatures or CopyAs-BuiltGasSystemFeatures, or both if needed.
  10. Click Open Notebook.

    It may take several moments for the Notebook to load.

  11. Click Cell -> Run All.
  12. When the interface loads, verify that the Item IDs listed are correct for your layers and click Load Services. How to find the Item ID in your organization.
  13. The Notebook is configured to copy data for the layers listed. Use the Add Row or Remove Row buttons to add or remove layers you will or will not use.
  14. Click the Copy Records button.
    This will copy all features in the as-built layers to the Gas Distribution Data Management layers that have the GIS_Status field set to "GIS_Status = 1". 1 is the code for Review Complete.
  15. The GIS_Status field will be updated to (Move Complete) after the features are copied so that they will not get processed in subsequent runs.

    You are finished and can close the Notebook or go through the Edit and Move workflow again to process another project. You can copy several projects at once, or one at a time, whichever your preference.

Move data using ArcGIS Pro

You can also use ArcGIS Pro to move as-built features into your system of record instead of using the preconfigured ArcGIS Notebooks.

In this workflow, you will assume the role of a GIS technician who is responsible for GIS data management.

  1. Open ArcGIS Pro, and sign in to your ArcGIS organization that you deployed the Gas As-Builting solution to.
  2. On the Catalog pane, click Portal, then click the My Content button, double-click the Gas As-Builting folder, right-click Gas As-Built Editor and select Add And Open.

    This will add and open the map.

  3. On the Catalog pane, click Portal, then click the My Content button, double-click the Gas As-Builting folder, right-click Gas Editor and select Add And Open.

    This will add and open the map.

  4. Using the Gas As-Built Editor map, find the features you wish to move.
  5. On the Map tab, in the Selection group, click Select and select the features on the map you want to copy.
    Note:

    Using this method of copy/paste, you can only paste one layer at a time so ensure that you do not have features selected from multiple layers.

  6. From the Gas As-Built Editor map, find the Clipboard group on either the Map or Edit tab, and click Copy.
  7. Switch to the Gas Editor map.
  8. On the Map tab, in the Clipboard group, click the Paste dropdown and click Paste Special.
  9. Click the Layer option and select the appropriate layer to Paste into.
    1. Ensure that the Keep source attribute values option is checked.
    2. Click OK.
  10. To archive the features as processed, update the GIS_Status field to Move Complete, or you can choose to delete the features after verifying they been moved.
  11. Repeat steps 1-10 for each layer you want to copy.

Monitor as-built projects

Use the Gas As-Built Dashboard to monitor ongoing and completed as-built projects.

In this workflow, you will assume the role of a construction supervisor or GIS manager who wants to monitor the progress of ongoing as-built projects.

  1. Sign in to your ArcGIS organization and browse to the Gas As-Built Review Center web experience.
  2. From the item page, click View.

    The experience will open on the Assign page.

  3. Click the Monitor button in the app header to open the Monitor page.
  4. In the Gas As-Built Dashboard, use the map and Project List to explore the as-built projects.

    Clicking a project in the list will reveal the details in the Project Details element and filters the Features ready to copy with Notebook indicators to only reflect the number for the currently selected project.

  5. Filter the list by status by clicking on one of the status types in the Project Count by Status element.
  6. View the list of workers currently assigned to perform as-built data collection. To zoom to a worker's current location, click on a worker.
  7. View the number of as-built features that are currently ready to be copied to the Gas Distribution Data Management feature layers.

    The Features ready to copy with Notebook indicator elements show the number of features that have been flagged with GIS_Status = Review Complete.
