Use Plans and Drawings

The Plans and Drawings solution delivers a set of capabilities that help you index record drawings, associate a geographic extent with each drawing, and provide access to a catalog of plans and drawings in the office or the field.

In this topic, you’ll learn how to use the solution by assuming the role of a user and performing the workflows below.

Index plans and drawings

First, you will assume the role of a public works engineer. You need to index a record drawing submitted for a recent project.

  1. In a browser, sign in to your ArcGIS organization, and then browse to the Plans and Drawings solution.
  2. View the Plan Index app.

    The Index Plan widget allows you to create a geographic extent for your project.

  3. To create a new plan, click the Plans and Drawings template.
  4. Click the map to draw the geographic extent around the project location, and then double-click to finish drawing the polygon.
    Note:

    You can use the Search widget to quickly update the map extent to desired addresses, place-names, or locations of existing projects.

  5. After you draw the geographic extent, you are prompted with a Plans Index form.
  6. Complete the form with as much information as possible.
    Tip:

    In the Document Path text box, type a URL or other resolvable file path to your organization's existing document repository solution.

    In the Document Location Description text box, describe the physical location if documents are not stored in a digital format with a resolvable document path, link, or URL. For example, type Public Works Building, 2nd Floor in the 2022 Projects cabinet.

  7. Scroll to the Attachments option.
    Note:

    The Attachments option is useful for uploading before-and-after photos related to the project and other relevant project media.

  8. Optionally, add attachments.
  9. Click Save to complete the indexing workflow.

View plans and drawings

After they are indexed, record drawings can be accessed from the office or the field. Now, you will assume the role of an engineer at a local utility who needs to access pertinent plans and drawings while in the field on a site visit to a new infrastructure project.

  1. In a browser, sign in to your ArcGIS organization, and then browse to the Plans and Drawings solution.
  2. View the Plan Catalog app.

    The app opens with the Filter Plans widget open on the right. Filters are active by default; filtering by project type or date automatically updates the results in the map.

  3. In the Filter Plans widget, adjust the filters to refine the results.
  4. On the map, click a project extent.

    A pop-up with more information about the project appears. In addition to providing project information, the pop-up includes a Document ID link, if available.

  5. If available, click the Document ID link to open the referenced plan or drawing associated with this project.

    The link opens in a new browser tab.

Share a record drawing link

A colleague has requested information about the record drawing for a bridge project that you recently indexed. You will use the Plan Catalog to create a direct link to the project details and share with your colleague.

  1. In a browser, sign in to your ArcGIS organization, and then browse to the Plans and Drawings solution.
  2. View the Plan Catalog app.
  3. At the upper right, click the Share button to open the widget.

    In the Share widget, under Share a link to this app, there is a pregenerated link. By default, this short link uses your app's current map extent. In the following steps, you will construct a query within the share link so that it opens a specific project detail when opened.

  4. Click Link Options.
  5. Click Query a feature and zoom to it.

    The drop-down lists that appear must be completed to generate a project-specific app link.

  6. Click the first drop-down arrow and choose Plans and Drawings.
  7. Click the second drop-down arrow and choose projname.
  8. Click the third drop-down arrow and search for or choose the project that you want to share.
  9. At the top of the widget, click the Back arrow.

    The sharing short link is now updated using your project query information.

  10. Below the short link, click the Email button to launch a pregenerated email with your custom app link.

    A draft email opens in your device’s default email handler. Alternatively, you can copy the short link from the Share a link to this app text box. If you have accessed the Plan Catalog app from a mobile device, you can use this link to share a record by text message or other messaging app.
