Manage jobs

The Manage page provides an overview of all jobs in the Workflow Manager system. The information on the Manage page is most commonly used by production managers and production coordinators in an organization.

Search and filter jobs

To search and filter jobs in Workflow Manager, complete the following steps:

  1. Access the Workflow Manager web app.
  2. Click the Manage tab.

    The Manage page appears.

    Note:

    If you don't have sufficient privileges, the Manage tab is not available.

  3. Click Search/Create to expand the Search panel.
  4. Search for jobs by doing one of the following:
    • Click a shared search in the Shared section.
    • Provide a keyword or an SQL expression in the Search Jobs text box.
      Note:

      Searches that you perform appear under Recent in the Search panel. Hover over a recent search to review the search criteria. You can also edit a recent search by clicking Edit Search Edit Search or delete it by clicking Delete Search Delete Search. Recent searches are available until you sign out of the Workflow Manager web app.

    Jobs that match your search criteria appear in the List view and jobs with location information appear on the map with job name labels in the Map view.

    Note:

    Job name labels are only available for jobs that contain line or polygon features.

  5. Optionally, hover over a job that contains a job location in the List view and click Zoom to job location Zoom to job location to zoom to the job's location on the map.
  6. Optionally, click Filter and turn on Restrict results to map extent to filter the List view to jobs that appear in the current extent of the Map view.
    Note:

    Click Refresh results to update the job list when the map extent is changed.

  7. Optionally, click Group and turn on Group by parent job to visualize parent-child job relationships on the map.

Interact with jobs on the map

Jobs that match your search criteria and contain location information are displayed in the Map view. When a job is selected in the List view, the job location is highlighted in the Map view. You can zoom in, zoom out, and move around the map to monitor work in specific areas to help you make informed decisions in the deployment of your workforce. When you want to show more information about a job, click the job's location on the map to open a pop-up. If the area you select overlaps other job locations, the overlapping jobs also appear in the pop-up. The following items in the pop-up allow you to interact with jobs:

Selects the job in the List view and opens the job in the Details panel.

Zoom To Zoom To

Zooms to the job's location on the map.

Next Feature Next Feature

Switches to the next job when more than one job appears in the pop-up.

Menu

Opens a list of jobs to select from when more than one job appears in the pop-up.

Previous Feature Previous Feature

Switches to the previous job when more than one job appears in the pop-up.

Dock Dock

Docks the pop-up in the Map view.

Undock Undock

Undocks the pop-up in the Map view.

Rename jobs

To rename a job, complete the following steps:

  1. Access the Workflow Manager web app.
  2. Click the Manage tab.

    The Manage page appears.

    Note:

    If you don't have sufficient privileges, the Manage tab is not available.

  3. Locate the job you want to rename.
  4. Choose the job in the List view.

    The Details panel appears.

    Note:

    You can also choose a job from the job list on the Work page and expand the Details panel.

  5. Hover over the job name in the Details panel and click Edit Edit.
  6. Update the job name as necessary.
  7. Click Save Save.

    The job is renamed.

Delete jobs

To delete a job and its associated job location, attachments, and extended properties, complete the following steps:

Note:

If you don’t have sufficient privileges, you can't delete jobs.

  1. Access the Workflow Manager web app.
  2. Click the Manage tab.

    The Manage page appears.

    Note:

    If you don't have sufficient privileges, the Manage tab is not available.

  3. Locate the job you want to delete.
  4. Choose the job in the List view.

    The Details panel appears.

    Note:

    You can also choose a job from the job list on the Work page and expand the Details panel.

  5. Click More Actions More Actions in the Details panel and click Delete Job.

    A confirmation message appears.

    Caution:

    Deleted jobs can't be recovered.

  6. Click Yes to delete the job or click No to cancel.
    Note:

    If a step is running, Delete Job is unavailable.

Upgrade jobs

When a job's workflow diagram is updated, you can upgrade the job to use the new workflow diagram.

To upgrade a job, complete the following steps:

Note:

If you don’t have sufficient privileges, you can't upgrade jobs.

  1. Access the Workflow Manager web app.
  2. Click the Manage tab.

    The Manage page appears.

    Note:

    If you don't have sufficient privileges, the Manage tab is not available.

  3. Locate the job you want to upgrade.
  4. Choose the job in the List view.

    The Details panel appears.

    Note:

    You can also choose a job from the job list on the Work page and expand the Details panel.

  5. Click More Actions More Actions in the Details panel and click Upgrade Job.

    Upgraded jobs can't be reverted.

    Note:

    If the current step has been deleted from the workflow diagram, the job is closed, or a step is running, Upgrade Job is unavailable.

Close jobs

To close a job without completing the last step in the workflow diagram, complete the following steps:

If you don’t have sufficient privileges, you can't close jobs.

  1. Access the Workflow Manager web app.
  2. Click the Manage tab.

    The Manage page appears.

    Note:

    If you don't have sufficient privileges, the Manage tab is not available.

  3. Locate the job you want to close.

    Tip:

    You can create a shared search to display a list of closed jobs.

  4. Choose the job in the List view.

    The Details panel appears.

    Note:

    You can also choose a job from the job list on the Work page and expand the Details panel.

  5. Click More Actions More Actions in the Details panel and click Close Job.

    The Close Job confirmation message appears.

  6. Click Yes to close the job or No to cancel.
    Note:

    If the job is already closed or a step is running, Close Job is unavailable.

Reopen jobs

To reopen a closed job, complete the following steps:

If you don’t have sufficient privileges, you can't reopen closed jobs.

  1. Access the Workflow Manager web app.
  2. Click the Manage tab.

    The Manage page appears.

    Note:

    If you don't have sufficient privileges, the Manage tab is not available.

  3. Locate the job you want to reopen.

    Tip:

    You can create a shared search to display a list of closed jobs.

  4. Choose the job in the List view.

    The Details panel appears.

    Note:

    You can also choose a job from the job list on the Work page and expand the Details panel.

  5. Click More Actions More Actions in the Details panel and click Reopen Job.

    The job is reopened.

    Note:

    If the job you chose isn't closed, Reopen Job is unavailable.

Batch job actions

You can use the Multi-selection toggle button to perform batch actions on multiple jobs.

Note:

If you don’t have sufficient privileges, batch actions are unavailable.

  1. Click the Manage tab.

    The Manage page appears.

    Note:

    If you don't have sufficient privileges, the Manage tab is not available.

  2. In the List view, turn on the Multi-selection toggle button.

    A check box appears next to each job.

  3. Check the check box next to each job that you want to upgrade, delete, or close.

    By default, 50 jobs are displayed. Click Show More to view more jobs.

    Tip:

    Check the check box in the first row to select all jobs.

  4. Do one of the following:
    • Batch upgrade—Updates jobs with the new workflow diagram.
    • Batch delete—Deletes jobs and their associated job locations, attachments, and extended properties.
    • Batch close—Closes jobs without completing the last workflow step.

    A confirmation message appears.

    Caution:

    Batch job actions can't be reverted.

  5. Click Yes to perform the action on the selected jobs or click No to cancel.
    Note:

    If a job has a step that is running, the current step was deleted from the workflow diagram, or the job is closed, the specified action will not be performed on the job.
