Set a replacement item

At this release, you can designate a replacement item for the following item types that are deprecated or retired:

You can suggest a replacement item for these items to guide users to an appropriate substitution. Users who find one of these items in the organization will see a badge (Replacement available) indicating that a different item should be used instead.

When users open the item page of the item to be replaced, a pop-up message appears on the Overview tab that contains a link to the replacement item's page. This allows users to determine whether the suggested replacement meets their needs.

Consumers of retired items are directed automatically to the replacement that you set. If you do not set a replacement, consumers are redirected to the item page of the retired item. Consumers of deprecated items can view the item page of the replacement that you suggest to determine if it meets their needs.

You can specify one replacement item per supported item type.

Tip:

You do not have to own the replacement item, but ensure that the replacement item is shared with the same audience as the item it will replace. If you are not the owner of the replacement item or you are not an organization administrator, contact the item owner to request that the sharing setting be changed. If the sharing setting cannot be altered, consider designating a different replacement item.

At this time, the option to set a replacement item is only available for the item types listed above.

To designate a replacement item, complete the following steps:

  1. Sign in to the organization.

    You must sign in as the item owner or as a member of the default administrator role.

  2. Open the item page of the retired item.

    A banner appears indicating that the item type is retired or soon to be retired.

  3. In the banner, click Select replacement.

    The Select replacement item pop-up appears.

  4. Browse to and select the replacement item.

    Use the filters and search to find items. To determine whether the item is a suitable replacement, click Preview on the item card to review information about the item.

  5. After you choose a replacement, click Select.

    The Select replacement item pop-up closes, and the replacement item is listed on the Settings tab of the retired item.

To change replacement items, remove the replacement item from the Settings tab, and follow the steps above to designate a new replacement.
